Operations Manager Ref:8789


Candidate Profile

  • The Operations Manager reports to the Chief Operating Officer of the Venue. The successful applicant will be responsible for all day-to-day operations and technical aspects of the venue, and for ensuring the most cost effective and efficient allocation of resources. Key areas will include the Technical Department, venue maintenance, operational code compliance and relationships with external providers, suppliers and other building managements.
  • In the pre-opening period, the Operations Manager will also be responsible for developing all departmental operating policies and procedures, risk registers and operational databases, as well as overseeing the commissioning of all newly installed equipment.

 

Pre opening

  • Develop departmental operating policies, procedures and risk registers
  • Develop preventative maintenance schedules for building fabrics, fixtures and fittings, E&M plant and venue technical equipment
  • Develop departmental operating budgets
  • Assist in the employment process of departmental staff
  • Source, assess, negotiate and secure all operations contract suppliers and providers
  • Develop all databases, including relevant contractors for asset management, maintenance and catering
  • Report regularly to the Chief Operating Officer and the facilities’ governing body

Opening

  • Assist other staff and contractors in planning for the opening celebrations

Post-opening

  • Manage the facilities’ day-to-day operations and technical aspects
  • Ensure all relevant building facilities and equipment are maintained in presentable and reliable operating condition
  • Manage relationships with other building operations external to the performance facilities
  • Oversee the Technical Department
  • Oversee external contractor(s) for building maintenance, E&M operations and maintenance, security, cleaning and landscaping
  • Ensure compliance with all building codes and regulations
  • Ensure maintenance of asset register/database
  • Implement and manage building risks and the risk registers
  • Serve as Fire Safety Officer
  • When necessary and available, take a hands-on operational role
  • Report regularly to the Chief Operating Officer and the facilities’ governing body
  • Implement and monitor departmental budget

Requirements

  • At least 6 years of experience as an operations manager or equivalent in a large building, preferably an entertainment, exhibition facility or similar
  • Experience in this capacity during both the construction and operations phases of a new building
  • Knowledge of or experience in the technical and production aspects of the entertainment industry
  • Proven ability to manage people and multiple service contractors at all levels
  • Proven ability to develop operational policies and procedures
  • A high level of budgeting and financial monitoring skills
  • A high level of attention to detail
  • Prepared to work in a small compact management team including occasional hands-on operational roles as required
  • Excellent communication and interpersonal skills
  • Familiarity with, or ability to pick up on Singapore building codes, public entertainment/performance licensing, occupational health and safety and compliance regulations
  • Must have excellent standards in both written and spoken English

Main Duties

  • Provide project planning on all front office applications related projects (Financial Markets, Market Risk Management and Product Control, Credit Risk Management and General and Structured Lending) • Organise and document regular project meetings
  • Provide RAG status monitoring on all project activities
  • Work with IT disciplines for resource management
  • Work with IPBCM for risk analysis and review of security standards within the organization
  • Ensure Service Transition procedures, including change control and release management, are adhered to
  • Ensure projects adhere to the ING Global Project Life Cycle Model
  • Provide recommendations to management on how to improve project delivery
  • Provide vendor management for individual projects
  • Regular status reporting to management

Job responsibilities

The Marketing and Sales Manager reports to the Chief Operating Officer of the Venue. The successful applicant will be responsible for the generation of venue hire and sponsorship income, developing and implementing the Venue’s marketing and sales strategies, and managing the Marketing and Sales team and service providers. The in-house team will include a department assistant, Customer Service Manager, 2 Venue Hire Officers and a pool of up to 100 customer service casuals. Service providers will include a ticketing agent, communications and advertising and promotion companies and catering/concession operators.

In the pre-opening period, the Marketing and Sales Manager will also be responsible for building the department team, developing all departmental operating policies and procedures, and operational databases, overseeing brand development and appointing service providers and planning launch activities. In addition, the incumbent will oversee the development of the venue hire department, including advance bookings for all venues.

 

Pre Opening Job Requirements

  • Develop departmental operating policies and procedures

  • Oversee the development and implementation of Venue branding and advertising and PR materials
  • Oversee the implementation of ticketing systems and processes
  • Report regularly to the Chief Operating Officer and the facilities’ governing body

Opening

Assist other departments and relevant contractors in planning for the opening celebrations # Plan and implement the marketing and promotional activities for the facilities’ launch

 

Post Opening

  • Oversee the day-to-day management of the Marketing and Sales Department
  • Oversee and manage key hiring functions, systems and processes
  • Maintain CRM systems and other relevant databases # Maintain and service all Venue supporters, including sponsors
  • When necessary and available, take a hands-on operational role
  • Report regularly to the Chief Operating Officer and the facilities’ governing body
  • Implement and monitor departmental budget

Requirements

  • At least 6 years of experience as a senior Marketing Manager with a large event management, facilities management, entertainment or exhibition organisation
  • Good knowledge of or experience with marketing in the entertainment industry, preferably in association with facilities
  • High degree of familiarity with Singapore’s and the region’s marketing and media scene
  • Proven ability to manage people and multiple service contractors at all levels
  • Excellent communication and interpersonal skills
  • Experience in a customer service/hospitality environment is essential
  • Proven ability to develop operational policies and procedures
  • A high level of budgeting and financial
  • monitoring skills

Candidate Profile

A Business Analyst with 5 years+ experience of implementing and supporting trading or market risk management systems. Knowledge of Summit, Kondor+ or other Financial Markets front office systems is preferred, as will understanding of database technologies.

Key Requirements

Job Responsibilities
